Searching Documents

Valiro’s search doesn’t just match filenames—it looks inside your documents and understands what you’re looking for.

Type something in the search box in Documents. Results appear as you type.

You can search for:

  • Filenames — “contract” finds “Oakwood_Contract_2024.pdf”
  • Content inside documents — “safety procedures” finds any document containing those words
  • Concepts — “project timeline” finds documents about schedules, deadlines, and milestones, even if they don’t use the word “timeline”

That last one is semantic search—Valiro understands meaning, not just keywords.

This is the useful part. Traditional search only finds exact words. Semantic search understands what you mean.

Search “vehicle requirements” and you’ll find documents that mention cars, trucks, automobiles, fleet—even if they never use the word “vehicle.”

Search “client contact info” and you’ll find phone numbers, email addresses, and communication records scattered across your documents.

This works because Valiro’s AI reads your documents and understands the concepts, not just the words.

Filtering results

Too many results? Narrow them down:

  • By project — only search within one project’s documents
  • By date — find recent uploads or older documents
  • By scope — just project documents, just company-wide documents, or both

Tips for better searching

Be specific when you can. “structural assessment oak trees north park” works better than “tree stuff.”

Try different phrasings. If “safety gear” doesn’t find what you want, try “PPE” or “protective equipment.”

Start broad, then narrow. Search “permits” first, then add “zoning” or a project name if you get too many results.

Ask AI instead. For complex questions, it’s often easier to just ask Valiro AI: “What permits do we need for the Oakwood project?” The AI will search for you and synthesize the answer.

When things don’t show up

If you can’t find a document:

  • Check processing status — newly uploaded documents need a few seconds to process
  • Try different terms — the document might use different words
  • Check your filters — you might be searching only one project when the document is company-wide
  • Search by filename — if all else fails, search for part of the filename
