Quick reference for terms you’ll encounter in Valiro.
Projects and work
Section titled “Projects and work”Project — A job or engagement. Could be a maintenance contract, a construction job, a service call—whatever constitutes a unit of work for your business.
Work package — A chunk of a project, typically a phase or major deliverable. “Site Assessment” or “Phase 2: Installation” would be work packages.
Work item — A specific task within a work package. The actual things people do: “Inspect transformer #47” or “Replace damaged panel.”
Project lifecycle — The stages a project moves through: Discovery → Planning → Execution → Closeout.
Documents and AI
Section titled “Documents and AI”Document scope — Whether a document belongs to a specific project or is available company-wide.
Document processing — What happens when you upload a document: Valiro extracts the text, breaks it into chunks, and creates searchable embeddings.
Embeddings — Mathematical representations of text that capture meaning. This is what makes semantic search possible.
Semantic search — Search that understands concepts, not just keywords. “Vehicle requirements” finds documents about cars, trucks, and fleet even if they don’t use the word “vehicle.”
Gems — Valiro’s AI assistants. Each Gem can be configured for specific purposes.
Context mode — Controls which documents AI can access: Project (just this project), Company (company-wide docs), or Blended (both).
Citations — References in AI responses showing where information came from. Click them to verify.
Resource planning
Section titled “Resource planning”Qualifications — Skills, certifications, and training that employees have. Used to match people to work.
Utilization — The percentage of someone’s time that’s allocated to work. 100% means fully scheduled.
Communication
Section titled “Communication”Newsfeed — Company-wide announcements. Different from chat.
Mandatory post — A newsfeed announcement that requires acknowledgment.
Project chat — Each project gets its own chat thread for team discussion.
Interfaces
Section titled “Interfaces”Office workspace — The full desktop interface with all features.
Mobile interface — Streamlined interface for phones and tablets, focused on field worker needs.
Dashboard — The home screen showing an overview of projects, status, and activity.
Statuses
Section titled “Statuses”Discovery — Initial project stage for scoping and assessment.
Planning — Preparing to do the work: creating tasks, assigning resources.
Execution — Active work is happening.
Closeout — Wrapping up: final documentation, sign-offs, archiving.
On Hold — Temporarily paused.
Cancelled — Not going to happen (data preserved for reference).
